How Biolectric's field sales team got data into Pipedrive — by talking to WhatsApp from the driver's seat

The company

Biolectric is a Belgian clean-tech company and the European market leader in pocket digesters — compact systems installed directly on a farm that turn manure into electricity, heat and green gas. What used to be waste becomes energy the farmer produces and uses locally.

Selling that is a road job. Biolectric's field sales team is ten people, and they spend their days driving between farms.

We sat down with Jo Baeten, Marketing Manager at Biolectric, to talk about what happens to CRM data when your sales team lives in a car — and what changed when they started dictating notes into WhatsApp instead.

The problem

Let's start with the basics. What does Biolectric actually build?

The company produces systems that can be placed on a farm. These systems turn manure into electricity, heat and green gas. Our field sales team is ten people, and I'm the marketing manager.

What does a day look like for those ten people?

They're very free in planning their own days. But one trend is that they are all driving and visiting clients a ton.

And that was the root of the problem?

We noticed they didn't fill in the CRM properly. They'd often say they just didn't have time for all of it. So they'd take notes — each in their own way — and then process those notes at home in the evening. Often not doing that all too well.

That's a familiar pattern. You've got the information, it just never makes it into the system.

Right. And by the evening you're tired, you've visited several farms, and the detail starts to blur. The note you wrote three hours ago doesn't mean much anymore.

The solution

So when you started looking for a solution, what were you actually searching for?

We were mainly looking to improve data input into Pipedrive. Specifically, we were looking for a way to voice control data input into Pipedrive.

That's a narrower brief than most people start with. You weren't shopping for an "AI CRM assistant" in the abstract — you knew the mechanism you wanted.

The problem was clear enough. The people were in cars. The data wasn't getting in. Voice was the obvious bridge.

How does it work in practice now?

WhatsApp to Hints to Pipedrive. They can already fill in info and make notes in Pipedrive while driving — when safety allows it, of course.

So the note gets created at the moment it's fresh, not at 9pm at the kitchen table.

That's the whole idea.

Let's talk about rollout. What was the initial reaction from the team?

We found some resistance, as expected. We're trying to train and support people to use it properly. Some are using it consistently. Some have given up on it.

That's a more honest answer than we usually get. What separates the ones who stuck with it from the ones who didn't?

The main concern is names not being entered correctly. That's the thing that frustrates people.

Walk us through what goes wrong.

When someone gives their first note, the name is usually already in there — they're dictating naturally, so the contact's name is part of what they say. Hints creates a record in Pipedrive from that, and creating a record triggers our automations. If the name came through wrong, fixing it afterwards doesn't help, because the wrong name is already sitting in those automations.

So the error propagates before anyone can catch it.

Exactly. I've told the team to manually type a name in WhatsApp and then use voice for everything else. That works. But it's a workaround, and you have to remember to do it.

The results

Did you manage to improve the metrics you set out to improve?

We didn't measure anything specifically. But Hints did remove the excuse of not having time to enter data into Pipedrive.

That's worth sitting with for a second. "Removing the excuse" isn't a number, but it's a real change — the objection that blocked the behaviour is gone.

The constraint was time, and the claim was that there wasn't any. Now there is. The note can happen in the car. What people do with that is a management question, not a tooling one.

Where would you like to see the product go?

A little personalization to the AI would be nice. In our case — not sending data to Pipedrive until it's confirmed the names.

A confirmation step before the record is created, so the automations don't fire on bad data.

That would solve the thing my team actually complains about.

What we took from this conversation

The problem was never motivation. Biolectric's reps weren't avoiding the CRM out of laziness — they were in cars all day, and the data entry step was physically positioned at the worst possible moment: the end of a long day, hours after the conversation happened. Moving capture into the car moves it to when the information is still intact.

Narrow briefs find better tools. Jo didn't go looking for an AI assistant. He went looking for voice input into Pipedrive. That specificity is why the evaluation was short.

Adoption is uneven, and that's worth saying out loud. Some of the team uses Hints consistently; some stopped. The thing that pushed people away wasn't the concept — it was a specific, fixable friction point around name recognition firing automations on imperfect data.

That gap is on our roadmap. Jo's request — hold the record until names are confirmed — is a real product need, and it's the kind of feedback that's more useful to us than a testimonial.
